EzeReg is a complete Document Imaging System designed for Registrar offices in county courthouses. It is a full-featured, web based application which allows for scanning, archiving and searching of documents. There are two main areas of the application: Register and Query The Register side of the application is used by administration in the registrar's offices to enter documents and data, and to maintain other system utilities. The Query side of the application is a powerful search engine allowing for searches on multiple criteria, including partial information searches using a contains syntax. The documents may be viewed from both sides of the application, however printing and image manipulations, such as annotations can only be added on the Register side. All areas of the application have security settings which can be customized by administration to control access.
Unlike the few systems currently available for Document Imaging in courthouses, EzeReg is designed to be a complete system, in which all functionality is contained in one user interface, instead of having to switch between different interfaces for imaging versus data entry Some other systems which are currently in use allow for data entry off of documents, but require that copies of the actual documents be sent off to the company to be imaged. This creates a lengthy processing time for the system to be of use. With EzeReg, all imaging is done on site and therefore the turnaround time is a matter of minutes.
The most impressive feature of WinDak's EzeReg is it's querying power. The query system allows for searching the document database in a multitude of different methods. EzeReg has the capability of performing simple searches, such as searching by document number, and it can also perform complex searches, such as searching on multiple criteria in different fields. One of the most powerful aspects of the query system is the contains searching method. This method allows a user to search for a part of a field in the database, not just the entire field contents. This is most useful in searching lengthy legal descriptions in documents for a certain key phrase or word..
System backups are a breeze with EzeReg. The EzeReg system comes complete with a CD-ROM recorder, capable of producing CD-ROM's for archival and backup purposes. The drive will also accommodate CD-RW CD's, which are used for daily or weekly backup. To create an archive or backup only requires a simple two-step process. Archives can be created monthly and stored off-site so that in case of fire or other natural disaster, all will not be lost.
